We’re excited to invite makers, builders, and boutique brands to apply for the Stringed Instrument Roadshow—a one-day celebration of handcrafted instruments and the people who create them. Join us on September 27, 2025, in Scotts Valley, CA, where you’ll have the chance to share your work, connect with fellow luthiers, and engage with musicians and enthusiasts who appreciate the art of the craft.
This is a curated event, and exhibitor participation is free, but space is limited. We're building a focused and vibrant experience for both creators and attendees—whether you're an established builder or an emerging voice in the field.

Things to know for exhibitors
Space
The venue is Scotts Valley Community Center
Booth Options
- Standard space includes a 5' table space and one chair.
- Indoor, climate-controlled venue with easy load-in access
Display Guidlines
- Banners and signage must be freestanding
- No open flames, aerosols, or unapproved amplified sound
- You are welcome to bring your own branded tablecloths (5ft wide or under), risers, or display props
Load-in / Load-out Times
- Load-in: 8:00 AM – 11:00 AM on event day
- Load-out begins promptly at 4:00 PM

How to Apply
- Complete the form on the application page in full
- Upload 2–5 clear photos of your work
- Application deadline: August 20, 2025 2025
Curation & Selection
- Applications are reviewed for quality, originality, and diversity
- Space is limited; we curate the exhibitor mix for a balanced showcase
- Accepted exhibitors will be notified via email by August 31, 2025
What Happens Next
- Approved exhibitors will receive booth assignments and a welcome kit
- Featured promotion begins in early September via social channels
- Final event logistics will be emailed one week before the show
Cancellation Policy
Participation Guarantee Fee
- A $50 refundable Participation Guarantee Fee is required upon acceptance
- This deposit helps ensure follow-through and commitment.
- Refunds requested after the application deadline (August 20) are reviewed case-by-case. No-shows will forfeit the fee.
Cancellations
- Cancellations before August 20 receive a full refund of Participation Guarantee Fee
- After August 20, refunds are at the discretion of the event team
- No-shows forfeit the $50 fee and may be excluded from future events
Communication is Key
- If you need to cancel, please email us promptly with the subject line “Cancellation”
- The sooner you notify us, the better we can reassign your space
